When a company (“Employer”) uses PayQuill, we process the workforce data it enters or generates through use of the service, including employee personal and employment details, attendance and check-in/check-out records, leave applications, salary structures, payroll records, and payslips.
Where an Employer enables Face Recognition Attendance, we process a biometric face template used to verify attendance punches. This is used strictly for attendance verification and is stored for that purpose.
We also collect technical information such as device, browser, IP address, and activity logs to secure and improve the service.
How We Use Information
We use information to operate PayQuill, authenticate users, run payroll and attendance calculations, support Employers and their employees, improve product performance, and prevent misuse or unauthorized access.
We may use contact information to send service notices, account updates, subscription and billing communication, and security-related alerts.
Employer And Employee Data
The Employer controls the workforce data it enters into PayQuill and acts as the data controller for its employees' information; PayQuill processes that data to provide the service the Employer has configured.
Each Employer is responsible for providing its employees any notices and obtaining any consents required under applicable law, including for attendance tracking and, where enabled, biometric face recognition.
Employees should first contact their own company's admin regarding personal or payroll data held in their Employer's PayQuill account, since PayQuill acts on the Employer's instructions for that data.
Data Sharing
We do not sell personal information. We may share information with service providers who help us operate PayQuill (such as hosting and email delivery), under confidentiality obligations, and only as needed to provide the service.
We may disclose information where required by law, to protect the rights and safety of PayQuill, our customers, or others, or in connection with a business transfer, subject to applicable legal requirements.
Security And Retention
We use reasonable technical and organizational measures to protect information against unauthorized access, misuse, loss, or disclosure.
We retain data for as long as the Employer's account is active and as needed to provide the service, comply with legal and tax record-keeping obligations, resolve disputes, and maintain security and backup records.
Your Choices
Employer admins can access, update, export, or delete workforce records directly within PayQuill, subject to the platform's own audit and record-keeping requirements.
Employees should contact their company's PayQuill admin for access, correction, or deletion requests regarding their own employment data.
